Board of Directors Meeting

Minutes of 8/9/2009


  1. Meeting Called to Order: Cherise Williams called the meeting to order at approximately 6:52 p.m. at the Brycc House pursuant to an email invitation sent out in the previous week to all directors. The meeting was a regular meeting of the Brycc House Board meeting. A quorum of directors (8 of 9) were present, :

    1. Cherise Williams, co-chair,

    2. Kathy Sweeton, co-chair and treasurer,

    3. John R. Hicks,

    4. Christina Baldon,

    5. Kristin Shelor,

    6. Whit Forrester,

    7. Meg Stern, and

    8. Bill Engebretson, secretary.


  1. Board Members absent: Greg King.


  1. Guests present were: Ted Sandstra, future architect.


  1. Purpose of the Meeting: Conduct business of the Brycc House.

  2. Old Business: Board meeting minutes of July not approved due to lack of review by board members. It’s on the BH site, so directors will review and send revision proposals to the secretary, and then in the September, the directors will again have an opportunity to approve.

  3. Discussions:

    1. Financial Report (accepted upon motion unanimously):

      1. Assets: $1190:

        1. 800 current balance.

        2. $115 from Noize

        3. $50 donation from Kathy

        4. $175 from the Bike Collective,

        5. $25 donation from Cherise Williams for Kristin’s birthday

        6. $25 donation from John Hicks;

      2. Liabilities: $1190:

        1. $500 fire marshal’s repair,

        2. $680 mortgage payment,

        3. $10 surplus capital.

      3. Payment to be made Monday for marshal’s repair and mortgage.

    2. Free Computers: Charise asked if the opportunity for the free computers had been missed, and Whit Forrester replied that yes it had been.

    3. Sale of Bike: Whit Forrester, representing the bike collective, mentioned that the bike collective had sold a bike for $40.

    4. Bike Collective Grant: Whit Forrester mentioned that the bike collective had received a grant in the amount of $4650 which was placed in the bike collective bank account, that it was contingent upon the bike collective remaining with the Brycc House, and that the Bike collective would pay $175 per month to the Brycc House as rent.

    5. Autonomy discussion: quite a discussion followed on whether the bike collective should pay back rent, an extra month’s rent amount, or just pay the $175 per month as it intended to do. The net result was that Whit Forrester would discuss it with the bike collective to see whether they wished to contribute more.

    6. Vending Machines: Christina Baldon said there was no progress on the machines and we reaffirmed her authority to conclude any contract with Smith that she felt was appropriate.

    7. Membership Telethon: Whit said that he didn’t know if it was alright to use his house for the telethon and it didn’t have any landline anyway. Ted Sandstra offered to conduct a telethon to old members on Saturday, August 15th; Meg Stern offered to open the BH up; John Hicks said he would provide a list of those whose credit cards had lapsed, and Bill Engebretson offered to assist Ted Sandstra in the calls. Christina Baldon and Kristin Shelor said they would come as soon as possible on that Saturday.

    8. Fright Night: Christina Baldon said she would investigate if any money or a free table could be gotten from that event.

    9. Slam 1, a film on poetry slams, Christina Baldon announced would be shown on August 21st at the Brycc House at 6:30 p.m.

    10. Poetry Slam on the 28th of August at the Brycc House at 6:30 p.m., Christina Baldon announced.

    11. Radio underwriting meeting to be held on the 15th of August. John Hicks to arrange time and place.

    12. John Hicks announced that he would take a noize concert one night per month.

    13. Yard Sale: Christina Baldon mentioned that there was a yard sale on the 29th of August, a Saturday, from 9 to 2 p.m., at the corner of 4th Avenue and St. Catherine. The organization hosting the event would take 20% of the revenue generated. A resolution passed (8-0) to attend.

    14. Bizarre Bazaar to be held on August 22, at the Brycc House for $5/table, participants keep their revenue, Cherise Williams to organize.

    15. Smoke town Barbeque to be held on the 26th of September, Christina Baldon announced. She said she would look into particulars.

    16. Live radio at St. James Arts & Crafts festival was discussed, but no decision was made.


  1. Resolutions:

    1. The Financial Report was accepted on a motion (8-0)

    2. Intention to attend the 4th Avenue & St. Catherine street Yard Sale passed (8-0) to attend..



  1. Proposals for consideration at the September meeting of the Brycc House Board of Directors:

    1. Acceptance of the July Board Meeting minutes.


  1. Action items:

    1. Bill Engebretson will distribute the Amended Minutes of the July Board Meeting and the minutes of this meeting to all directors.

    2. Bill Engebretson to assist Ted Sandstra in the telethon calls.

    3. Whit Forrester will find out if the bike collective wishes to contribute more to the Brycc House than the $175 per month already pledged, either as a one time extra donation or as a greater per month donation.

    4. Ted Sandstra to conduct a telethon to old members on Saturday, August 15th.

    5. Meg Stern to open the BH up for the telethon.

    6. John Hicks to provide a list of those whose credit cards had lapsed.

    7. John Hicks to arrange time and place of radio meeting on the 15th of August.

    8. John Hicks to take a noize concert one night per month.

    9. Christina Baldon to investigate if any money or a free table could be gotten from the Fright Night event.

    10. Christina Baldon to organize our participation in the August 29th Yard Sale at 4th Avenue and St. Catherine.

    11. Christina Baldon to look into the particulars of the Smoke town barbeque to be held on the 26th of September.

    12. Cherise Williams to organize the Bizarre Bazaar to be held on August 22, at the Brycc House for $5/table, participants keep their revenue.



  1. Adjourned at 9:14 p.m. on a motion that passed unanimously.
